Frequently asked questions
About CAS Manager, the Career Advancement Scheme and the API score.
What is CAS Manager?
CAS Manager is web software for teachers and scientists who go through the Career Advancement Scheme (CAS). You record your academic, research, extension and administrative activities, upload the supporting documents, and the software calculates your API score and checks it against the promotion requirements.
What is the Career Advancement Scheme (CAS)?
The Career Advancement Scheme is the process by which a faculty member or scientist moves from one stage or grade to the next on the basis of service completed and an Academic Performance Indicator (API) score earned through teaching, research, extension, administration and professional activities. The exact stages, scores and documents come from your university's own CAS notification.
Is CAS Manager free?
Every new account starts with a free trial of 90 days with full access, and no payment details are needed to start. Current plans are shown on the home page.
What happens when the free trial or plan ends?
Your account becomes read-only. You can still sign in, view everything you recorded and export your reports; you just cannot add or edit records until you renew. Your data is never locked away from you.
How does CAS Manager calculate the API score?
Each activity in the catalogue has its own rule, for example a number of points per lecture, per contact hour or per publication, and often a yearly maximum. When you enter an activity the software applies the rule and the cap automatically, adds the totals per category and per year, and shows how far you are from each requirement. See the guide “How the API score is calculated”.
Which categories and activities are covered?
Category I (teaching, research, extension and technical administration, with a yearly maximum of 125 points in CAS Manager), Category II (co-curricular and professional development activities, yearly maximum 50) and Category III (research and academic contributions such as papers, books, awards and guidance, with no yearly maximum). The full list is in the guide “API score categories explained”.
Are the scoring rules the same as my university's?
The catalogue in CAS Manager follows the CAS / PBAS format it is configured for, which is written around agricultural-university style activities. Rules and caps differ between universities and between notifications, so always compare the catalogue with your own university's notification. If something does not match, tell us through the Help Desk inside the app.
Can I upload my proof documents?
Yes. You can attach certificates, letters, publications and other proofs to the activity they belong to. Supported formats are PDF, images (PNG, JPG, GIF), Word and Excel files, up to 25 MB each. The app shows which entries still have no proof.
How do I get my CAS report?
Use Export. You choose a year, a stage or all years, tick and arrange the documents you want included, and download one PDF: the full report first, then your chosen documents, each page stamped with its activity code and year.
Does it tell me whether I am eligible for promotion?
The dashboard compares your totals with the requirements configured in CAS Manager (per-category scores, the combined Category I + II score, the yearly Category III score and the time spent in the current stage) and tells you what you are still short of. It is a planning aid: the decision is taken by your university's committee.
Can I track more than one assessment year or stage?
Yes. Records are kept by assessment year and grouped by stage, you can switch between a single year and the whole stage, and you can record a promotion so the next stage starts fresh while the previous one stays on file.
Is my data private and secure?
Your account is protected by your password, the site is served over HTTPS, and your records belong to your account. The Privacy Policy explains what is stored and how it is used, and you can read it before signing up.
Is CAS Manager affiliated with a university or government body?
No. CAS Manager is an independent tool. It is not run by, or endorsed by, any university or government body, and it does not replace your university's official CAS process or forms.
